Scope of Project Management
A) Pre Construction
- Project breakdown and scheduling of the pre-construction activities
- Interact with client and its other consultants on the finalisation of the specifications as well as the selection of the materials, technology etc. with reference to the local conditions and costs.
- Prepare preliminary project schedule.
- Revising the project schedule if necessary, after the receipt of the all-necessary statutory approvals by the Client.
- On receipt from Architects / respective consultants carry out final review of design, drawings and verification of the bills of quantities for Civil works, utilities, services-electrical, plumbing, acoustic, interior design, and others, equipment and items with detailed specifications.
- Short listing of contractors on the basis of pre-qualification documents for approval from client.
- Review of bid documents and assistance in floating tenders.
- Assist in pre-bid meetings
- Assist client in the conducting of negotiations and evaluation of the bids, if necessary.
- Advise client on the acceptance of the bid.
- Prepare the contract document for awards work
B) Construction
- Assist in preparing cash flow
- Review all execution drawings before commencement of work
- Approve/suggest modifications in the contractor's work programme method statement and material sources etc. including the procurement of the long lead items like lifts etc.
- Prepare the overall construction schedule based on the master project schedule.
- Prepare PERT chart.
- Co-ordinate, monitor, update schedules and report to client on a regular basis.
- Devise with contractor a method of operations and equipment to be used.
- Indicate the location of the storing, the stacking of the materials and location of the temporary structures (stores, site office, materials testing laboratory, labour sheds, etc.) to be provided by the contractor.
- Review availability of construction materials, water and electricity, telephone lines etc. and inform client regarding any situation demanding immediate attention.
- Ensure that all requisite insurance have been taken by the contractor and other concerned agencies.
- Supervise and ensure that all the construction methods and equipment/ standards as stipulated in the contract are met with.
- Access and check the laboratory set up at site and the modus operandi of conducting field tests at the Site.
- Review the test samples of aggregates and other construction material and seek approval.
- Review all concrete mix design proposed by the contractor and approve/ suggest modifications in the mix design, laying method, sampling and testing etc.
- Ensure that all necessary day to day safety and security measures are adhered to notify client in case of any lapse.
C) Monitoring
- Supervise execution of work (drawings, specifications, contract documents and schedules).
- Assistance in approval of the subletting of any part of work or introducing the new vendor by the contractor.
- Monitor progress and sequence of work with various agencies to ensure coordinated and harmonious construction.
- Monitor procurement of materials, equipment and labour by the Contractor, Vis a Vis the schedule.
- Locate the causes of delay and hold up if any, and recommend alternative solutions for mid-course corrections to avoid slippages.
- Maintain a day to day log book of the site works.
- Arrange and coordinate periodic site meetings between client, contractor and all concerned agencies for an effective and full review of the project.
- Update the PERT chart and keep client informed.
- Review fabrication, working drawings, layouts prepared by suppliers and the contractors.
- Assistance in the approval of samples of finishing materials/hardware, etc.
- Assistance in the approval of the distinct orders which have financial implications.
- Prepare quarterly cash flow projections for client.
- Prepare monthly reports of actual cash flow, progress of work and other reports, the monitoring of the overall project budget, identification of anticipated deviations and suggesting solutions for client's approval.
- Inspect materials received at site, with reference to relevant documents from vendors/contractors. Review of testing /checking of all the materials brought to site such as sanitary items, electrical items, reinforcement, finished materials etc.
- Ensure total quality monitoring, including checking quality of materials and works on regular basis, testing cement, concrete cubes, bricks, aggregates etc. in the laboratory regularly.
- Monitor the site management, workmanship, capturing photographs, document the workmanship and tests conducted.
- Interpret the technical specifications, if necessary.
- Check and inspect quality of workmanship, deployment of labour force and giving suitable instructions for proper execution of work.
- Order the removal of improper/sub-standard work and assist client in the replacement thereof.
D) Payments
- Administer adherence to all construction contracts.
- Process/monitor certification of running account bills of various contractor with respect to the stages of payment, in consultation with client quantity surveyors.
- Prepare and approve details of extra items of work/ substituted items or for existing items of work which arise from variations in quantities or scope of work beyond the limit defined in the Contract.
- Maintain complete records of the bills certified, deductions and payments effected.
E) Allied Responsibilities
- Maintain records relating to work "as built" drawings, test data, details of variations, correspondence and dairies in the agreed formats.
- Certify completion of work
F) Handing Over
- On completion prepare the snag list jointly with the architect/client.
- Supervise rectification of all snags
- Check and certify the final bills of the contractors.
- Compile "as built" drawings, which shall be prepared by the Contractor(s) along with operation and maintenance manuals and hand over the same to client.
- Ensure that all the guarantees as per the contract have been furnished
- Assist client in issuing completion certificate to the contractors and handing over the building to client.
